This Privacy Policy explains how Scout & Aerial, L.L.C. ("Scout & Aerial," "we," "us") collects, uses, and shares information in connection with our website, services, and web-based tools, including Scout & Aerial Costs. It should be read together with our Terms of Service and our Policies & FAQs.
Information we collect
Information you provide
- Contact details, such as name, email, phone number, company/brokerage, and job addresses.
- Order details, messages, access notes, service preferences, and other information you submit through forms, estimates, invoices, or service communications.
- Business records entered into Scout & Aerial tools, such as restaurant or business names, categories, inventory items, recipes, menu items, menu prices, sales summaries, labor summaries, inventory counts, backup records, and notes.
- Files you choose to upload or check in our tools, such as CSV files or Scout & Aerial Costs workspace files.
- Payment details are handled by payment processors, such as Stripe. We do not store full card or bank-account numbers on our servers, though processors may provide limited details such as the last four digits or transaction IDs for receipts and records.
Information collected automatically
- Basic analytics, cookie, and device data, such as IP address, browser type, pages viewed, and time spent on the site.
- Approximate geolocation from map tools when you search or confirm addresses, such as through Google Maps.
- Basic security and diagnostic logs needed to operate, protect, troubleshoot, and improve the website and tools.
Google sign-in and optional Google Drive sync
If you choose to sign in with Google or connect Google Drive, we may receive limited Google account information, such as your name, email address, profile image, and Google account identifier. If you choose Google Drive sync, we request limited Drive permission so the app can create, find, read, and update Scout & Aerial Costs files that the app creates or that you select for use with the app.
Scout & Aerial Costs uses Google Drive only when you choose to connect it. Manual filing remains available without Drive sync. When Drive sync is connected, workspace copies are stored in your Google Drive, not in a Scout & Aerial-owned Drive. The app may process the contents of authorized workspace files as needed to save, load, restore, or check those files, but Scout & Aerial does not sell Google user data or use Google Drive data for advertising.
Scout & Aerial personnel do not routinely open or review your Google Drive files. We may access specific app-related files or account information only when needed to provide support you request, investigate security or abuse concerns, comply with law, or operate the user-facing features you have authorized.
Authentication tokens needed to keep Google Drive connected may be stored securely so the app can continue to save or load files you authorized. You can disconnect Google Drive in the app when available, and you can also revoke access from your Google Account permissions.
Scout & Aerial's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How we use information
- Provide, schedule, and deliver our services, media, measurements, documentation, and web-based tools.
- Operate Scout & Aerial Costs, including restaurant setup, costing, inventory, backup, restore, and optional Google Drive sync features.
- Send invoices, estimates, confirmations, appointment reminders, service updates, and account-related notices.
- Maintain business and accounting records, including for taxes, compliance, dispute resolution, and service history.
- Improve our website, tools, service quality, user experience, and security.
- Detect, investigate, and help prevent fraud, abuse, unauthorized access, or security incidents.
- Comply with legal obligations and enforce our Terms of Service and policies.
- Send marketing communications where permitted. You can unsubscribe at any time.
Legal bases, where applicable
Where data-protection law requires a legal basis, such as in the EU or UK, we rely on:
- Contract - to provide services and fulfill our agreement with you.
- Consent - for certain marketing, cookies, optional Google Drive sync, or other optional features.
- Legitimate interests - such as improving services, maintaining records, and protecting security, provided those interests are not overridden by your rights.
- Legal obligations - where we must keep or disclose information under applicable law.
Sharing with service providers
We share information with vendors and service providers who help operate our business. Examples may include:
- HubSpot for CRM, email, forms, and cookie banner tools.
- Stripe for payments and invoices.
- Relay for business banking.
- Cloudflare for hosting, security, databases, storage, and related infrastructure.
- Google services, including Google Maps, Google sign-in, and optional Google Drive sync when you choose to connect Drive.
- YouTube, Vimeo, or other media hosts if used for delivered media or examples.
- Social media pixels and analytics tools, if enabled on our site.
- Professional advisors, such as legal or accounting providers, where reasonably necessary.
We do not sell personal information.
Manual filing, Drive storage, and user-controlled records
Scout & Aerial Costs may allow you to download full workspace copies and backup files for manual filing. If you manually download, move, delete, rename, share, or store those files outside the app, those copies are controlled by you. Scout & Aerial cannot recover, view, edit, replace, or verify copies that are only stored by you or in storage locations we cannot access.
If you choose Google Drive sync, copies are stored in your Google Drive under your Google account. You are responsible for protecting your Google account, managing sharing permissions, and keeping any required business records. We recommend using a business Google account where practical, enabling Google 2-Step Verification or passkeys, reviewing Drive folder sharing, and keeping periodic local backups.
Retention
We keep records for as long as needed to provide services, operate tools, maintain reasonable business and accounting records, resolve disputes, enforce agreements, and meet legal obligations. When information is no longer needed, we delete or anonymize it where feasible.
Files stored in your Google Drive or manually downloaded by you remain subject to your own Google account settings, sharing choices, retention choices, and deletion choices. Disconnecting Drive sync or deleting files from your Drive may affect the app's ability to save, load, or restore those copies.
Security
We use reasonable technical and organizational measures appropriate to our size and services to help protect information. However, no system or method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
You are responsible for protecting your account credentials, Google account, devices, local files, and any shared Drive folders. If you believe your account or files have been accessed without authorization, contact us promptly and review your Google account security settings.
Children
Our website, services, and tools are intended for adults and business users. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Your choices
- Use unsubscribe links included in marketing emails to opt out of those messages.
- Request access, correction, or deletion of certain information by emailing jonathan@ScoutAndAerial.com. We may retain information where required by law or for legitimate business purposes, such as invoices, tax records, security logs, or dispute records.
- Manage cookies through our cookie banner, where shown, or in your browser or device settings.
- Choose manual filing instead of Google Drive sync where the tool offers that option.
- Disconnect Google Drive in the app when available, or revoke Scout & Aerial Costs access from your Google Account permissions.
- Manage, move, share, download, or delete files stored in your Google Drive, subject to Google's own controls and terms.
Cookies
We use cookies and similar technologies for site functionality, analytics, forms, security, and user experience. Some cookies are strictly necessary to operate the site; others are optional and may be controlled through your settings.
International users
If you are accessing the site from outside the United States, you understand that your information may be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the effective date at the top of the page. Material changes may be highlighted on this page or elsewhere on the site.
